Lease and Property Manager

Position Summary:

The Lease and Property Manager is responsible for all lease administration functions including maintenance of lease information/systems and preparation/execution of real estate documents. Responsible for negotiating lease renewals for all corporate Red Robin locations. Oversees property management functions including matters such as signage, parking, security, closures, subleases, and CAM issues to ensure lease compliance and execute upon corporate initiatives. Utilize financial tools and analysis to assist with lease negotiations & property management decisions.

Essential Functions:

Responsible for all lease administration functions

  • Primary point of contact regarding company’s lease administration system

  • Coordinates the delivery of electronic documents to third-party vendor

  • Providing lease verification/validation and ensuring Landlord and/or property management contact and payment information is maintained/updated

  • Assists attorney in handling matters pertaining to the review and preparation of documents including but not limited to: commercial leases, subleases, lease amendments, easement agreements, assignments, indemnification and access agreements, license agreements, estoppels, SNDAs, rent and term commencement agreements, termination letters, renewal notices, architectural agreements, construction contracts, guarantees, brokerage agreements and services agreements

  • Prepares legal documents for attorney approval and executive signature by typing, formatting, and proofreading texts, and manages the coordination of document execution, advising necessary parties of the receipt of such executed documents and creating, organizing, and maintaining physical and electronic files

  • Liaison with company’s Real Estate, Development, Design, Construction, Facilities, Licensing, Operations, Legal, Tax and Accounting teams in the preparation and interpretation of legal documents as well as correspondence related to properties, such as default letters, routine lease violation notices, CAM reconciliations and billing disputes

Responsible for negotiating lease renewals for all corporate Red Robin locations

  • Conducts preliminary buyout discussions with Landlords and collects all necessary information for a final decision

  • Coordinates marketing efforts with local brokers

  • Negotiates LOI's with potential subtenants

  • Assist FP&A on open vs. close analysis and communicating closures to relevant departments

  • Support the Lease Administration software / reporting process and accurately report / communicate critical portfolio dates and decision requirements

  • Coordination and execution of lease documents, in coordination with Real Estate Legal and external firms

Oversees property management for all Red Robin restaurant locations

  • Builds and maintains working relationships with property owners and managers

  • Primary point person for all property management questions

  • Engages in negotiations with Landlord regarding matters such as signage, parking, security, closures, subleases etc. to ensure lease compliance and execute upon corporate initiatives

  • Reviews and resolves property disputes with property owners

  • Lead the Development team, Facilities & operators in establishing and preserving positive relationships with Landlords by addressing complaints and resolving problems

Utilize financial tools and analysis to assist with lease negotiations & property management decisions.

  • Compiles and maintains all information necessary to evaluate and support decisions and negotiations pertaining to the companies lease portfolio

  • Explain financial benefits for individual deals

  • Conducts analysis and data support for disposition of underperforming locations in the portfolio

  • Work with FP&A and Accounting on financial impact of real estate strategy

  • Assist FP&A on open vs. close analysis and communicating closures to relevant departments

  • Contributes to Real Estate Committee presentations and advises on the development of the annual and ongoing real estate and property plans

Qualifications:

Bachelor’s degree in Real Estate Development, Finance, Business, Legal/Paralegal or related field of study and a minimum of two years’ experience in commercial real estate lease administration or combination of education and experience. Experience in multi-unit retail or hospitality environment preferred.

Knowledge, Skills & Abilities:

  • Detail oriented

  • An understanding of contract law and commercial real estate transactions and provisions

  • Strong problem-solving skills

  • Good presentation skills

  • Strong negotiating skills

  • Excellent analytic skills with financial analysis experience within a real estate business environment

  • Ability to work independently, exercise sound judgment when making decisions and refer appropriate matters to supervisor when necessary

  • Experience with lease management software (CoStar is optimal), or otherwise the ability to become proficient quickly in this software

Compensation Range: $67,000.00 - $92,125.00
